Elite Integrated Enterprise Management System (EIEMS)

One custom-built platform for finance, HR and payroll, assets, learning and analytics, replacing legacy systems for a workforce of up to 2,500, with three years of 24/7 managed services.

Client: Elite Global Sourcing Phil. Inc. Sector: Private sector & enterprise Implemented: 2019
Project overview

What was implemented

Elite Global Sourcing ran its Philippine operations on separate legacy systems and manual reconciliation. We designed, built and migrated a single enterprise platform in twelve months, then ran it for three years under managed services: monitoring, support, security, backups and enhancements on the client’s own AWS account.

The challenge

Before the project

Finance, HR, payroll, assets and training each lived in a different system or spreadsheet. The same data was keyed more than once, payroll and the ledger had to be reconciled by hand, approvals moved on paper, and management had no cross-department view of budget, headcount or asset accountability.

Our solution

What ITDC delivered

We built one platform in which every module shares the same master data, sign-in, roles, approval workflows, notifications, audit trail and reporting. Legacy records were migrated and reconciled before cutover, payroll and accounting ran in parallel for a validation cycle, and the client owns the source code and its data.

Key features

What the system does

Accounting and finance

General ledger, payables, receivables, cash and bank, budget control, procure-to-pay, expense claims, and VAT and withholding-tax reports.

HR information system and payroll

Employee 201 files, recruitment, onboarding, timekeeping, shifts, leave, Philippine payroll with BIR, SSS, PhilHealth and Pag-IBIG, and offboarding.

Asset management

Asset register with barcode and QR tagging, assignment and accountability, maintenance, inventory counts, disposal and depreciation posted to accounting.

Learning management

Courses, learning paths, compliance training, exams, certificates with expiry alerts, and skills mapping for internal staff.

Business intelligence

Executive, finance, workforce, asset and training dashboards with drill-down and a self-service report builder that respects role and field security.

Common platform services

Multi-level approval workflows with delegation and escalation, document management, notifications, MFA and an audit viewer.

Technical architecture

How it fits together

A layer-level view. We do not publish hostnames, addresses, credentials, firewall rules or topology detail for systems in production.

Implementation

How it was rolled out

01

Discovery and design

Process mapping, requirements, solution architecture, security design and the migration plan, January to February 2019.

02

Module build

Finance and HR core first, then assets, learning, procure-to-pay, analytics and integrations, March to August 2019.

03

Migration and testing

Mock migrations and reconciliation, integrated, performance and security testing, then UAT and training.

04

Go-live and managed services

Phased cutover in December 2019 with parallel payroll and accounting runs, then 24/7 managed services from 2020 to 2022.

Outcomes

What came of it

Each outcome carries the label that describes what kind of claim it is. We never present a target as a measured result — see our claims policy.

Design Capacity
Up to 2,500 employees, 500 concurrent users

The platform was sized and performance-tested for the client’s full Philippine workforce before production acceptance.

Target
99.9% monthly availability

The contracted service level for production, with 15-minute response to critical incidents around the clock.

Measured Result
Live within the twelve-month implementation year

Built, migrated and cut over in 2019, with Final Acceptance on 15 January 2020.

Questions

Frequently asked questions

Accounting and finance, HR and Philippine payroll, asset management, a learning management system and business intelligence, all on one platform. Every module shares the same master data, sign-in, roles, approval workflows and audit trail, so an employee, a cost center or an asset is recorded once rather than once per system.

Through profiling, mapping, cleansing and repeated mock migrations before cutover. Each run was reconciled on record counts, control totals, accounting balances, payroll checks and asset counts. ITDC owned the technical accuracy of the move; the client confirmed the business meaning of ambiguous legacy records.

The cutover was phased, with at least one parallel run in which payroll and accounting were processed in both the old and new systems and the results compared. It also had a data freeze, a final migration, a backup, a rollback plan and a go/no-go decision before the old process was retired.

The client. It owns its data outright and can export it at any time, and on full payment it owns the project-specific source code, database schemas, reports and documentation. Production runs in an AWS account the client owns, so ending the managed-services contract does not mean losing the platform.
